|Duties:||1. FINANCIAL MANAGEMENT OF THE OPERATIONS |
a. Ensure there are proper accounting procedures in place with
sufficient valid supporting information, all of which complies
with local government requirements and which are correctly filed
and then neatly stored for the right amount of time.
b. Ensure day to day funding of the Operations
c. To ensure compliance with all terms and conditions of the
management agreement and associated legal documents.
d. To keep and safeguard all contracts, leases, insurance policies
and all legal and financial documents. Maintain a
suitable “trace” system to ensure that there is sufficient time
to consider and renew all contracts.
e. To manage the Information Technology Department and ensure that
the operation’s computer system and its software are fully
utilised, well safeguarded, properly maintained and all licenses

2. COST / CREDIT CONTROL
a. To review the reports compiled by Cost Controller and communicate
with the Procurement Manager to ensure proper procedures and
control of inventories.
b. To oversee the Procurement function, review all purchase
requisitions and approve all purchases in view of availability of
funds, necessity and the budget. To review and ensure proper
procedures and control of purchasing, receiving, storing and
c. To implement all necessary controls in order to safeguard the
assets of the hotel and to maintain records for the fixed assets,
operating equipment, supplies and inventories.
d. To ensure that the physical inventories of all inventories,
operating equipment and fixed assets are being taken on a
monthly, quarterly and annual basis respectively.
e. To conduct credit vetting of the hotel’s travel agents, corporate
clients and shop tenants and to recommend appropriate credit
limit for the General Manager’s approval
f. To review ageing analyses of receivables, payable, suspense
accounts and inventories, to investigate reasons for any long-
outstanding / obsolete amounts and to make appropriate actions to
clear any long-outstanding items.
g. To ensure that the financial control environment is appropriate
and functioning to prevent and detect irregularities so that
there is financial integrity in all processes and documents.
To report timely and accurate information in accordance with local and HK GAAP accounting rules as required by:
a. The owning company/companies
b. The management company, usually Hongkong & Shanghai Hotels,
c. The Corporate Finance and Operational Finance teams in head
The Financial Controller also has a duty to immediately report to Operational Financial Control any issues with financial implications which may arise from time to time in the operation. This duty exists regardless of whether or not anyone else is required to report the issue.
4. ADVISER AND KEY CHALLENGER TO EXECUTIVE COMMITTEE / GENERAL MANAGER
To be an adviser on financial issues and, where necessary and appropriate, to challenge the Executive Committee and General Manager regarding the way business is conducted.
In order to be able to fulfil this function, the Financial Controller needs to have intimate knowledge of all financial and operational numbers of the property and key statistics including for the competitive set, and be able to use this data to challenge the operating departments and General Manager by reference to benchmarks.
In any situation where the Financial Controller has a material concern about operations that cannot be resolved with the operational General Manager, the Financial Controller is expected to escalate this to HSH for discussion.
5. PROVIDE LEADERSHIP AND COACHING TO ALL DIRECT REPORTS
a. To have regular communication meetings with all reporting teams
b. To develop the High Potentials in the team
c. To ensure the reporting teams are professional and interact
positively with guests and internal customers alike.
6. PROVIDE DIRECT FINANCE MANAGEMENT ASSISTANCE TO EXECUTIVE COMMITTEE AND DEPARTMENT MANAGERS
a. To facilitate the monthly financial review meetings (by the 15th
of each month)
b. Provide easy access to all relevant financial information at the
earliest possible time and assist with understanding this
information as may be required.
c. To assist teams in budgeting processes and training Department
Managers on how to manage their respective budgets
d. To provide training where necessary, either one-on-one or in more
formalized training activities.
e. Assist as required with designing and implementing controls in
the various departments, and the review of these procedures.
7. STRATEGIC FINANCIAL PLANNING
Work with the operating team to develop suitable and reliable forecasts of expected financial performance, whether
a. rolling monthly forecast
b. annual forecasts
c. 5-year forecast
d. annual budget
e. 10-year capex planning
f. IRR calculations
|Qualifications:||Desired Skills & Experience:|
• Ability to influence and challenge Executive Committee and develop
strong relationships within the team.
• Communicate effectively with all levels of staff and is
• Compliance with the local accounting rules and regulations, HK
GAAP and the latest edition of the Uniform System of Accounts for
the Lodging Industry
• Strong leadership in the Finance, IT, Procurement and HR teams
with a pool of high performing managers with potential identified,
developed and ready for management succession for the group.
JOB SPECIFICATIONS EDUCATION:
• Bachelor's degree
• Accounting Qualifications or equivalent
• At least 5-8 years professional experience beyond the degree
• For a Hotel Financial Controller, hospitality industry experience is required, whether by working in a hotel or similar operation. In some cases it would also be acceptable to have worked in the head office of a company with hotel ownership / management, or as an auditor of hospitality industry businesses.
